Free job description Clerical Officer
To provide administration duties including general office duties, as well as working with a team to provide a high standard of admin duties. With good telephone skills and the ability to deal with the general public on a daily basis, have a positive approach to customer care and be confident in communicating with members of the multidisciplinary team.
1 To ensure the smooth day to day running of the office / reception.
2 To work at the discretion of the Line Manager and to deputise for other Team clerical staff as required
3 To participate in the implementation and development of the new audit systems.
4 To ensure the effective handling of all incoming mail to the Department.
5 To ensure that all outgoing mail is ready for dispatch each day.
6 To ensure that all filing within the Department is kept up to date and in good order.
7 To ensure that all call handling duties including telephone requests and messages are dealt with efficiently and courteously.
8 To ensure the confidentiality of records and data.
9 To maintain stocks of stationery where appropriate
10 To participate in staff meetings and training programmes.
12 Dealing with equipment loans from the department and their retrieval.
13 Take responsibility for managing their own health and wellbeing
14 To comply with all Departmental Policies.
15 Reception duties, greeting customers, informing relevant party appointment has arrived.
18 Secretarial and administrative support to the Team
Good general standard of literacy and numeracy
Knowledge and Experience
Previous clerical work including data input
Previous typing experience
Experience in customer service organisation
Skills and Abilities
Good communication and interpersonal skills
Basic IT skills
Flexible – able to multi task and prioritise
Understanding of the need for confidentiality
Good team player
Customer care skills.
