This role requires a very responsible, high energy and motivated individual who can manage a high workload and interact with senior level executives in a corporate environment.

Executive Administrative Assistant job description

Liaises with members of the Corporate Senior Management team, Project and Department Managers, clients, suppliers and all levels of staff and handles a high level of confidential information and exchange.

 

Responsible for heavy calendar management; requiring interaction with both internal and external staff, management and executives and keeping the Vice President on schedule with all business commitments and priorities.

 

 Receive and screen communications to the Vice President, including telephone calls, email messages and mail; and expedite using independent judgment to determine those that require priority attention

 

Arrange travel schedule, reservations and logistics for Vice President, Construction as required, including all associated activities.

 

Prepare expense reimbursements in a timely manner.

 

Anticipate Vice President, Construction’s needs and proactively bring together appropriate people and other resources to support the Vice President, in addressing issues.

 

Draft, prepare, distribute and follow-up with various correspondence. Independently respond to letters and general correspondence of a routine nature.

 

Develop content and produce documents and reports

 

Organize and attend meetings and ensure the Vice President, is well prepared for meetings.

 

Devise and maintain office systems to deal efficiently with the paper flow of the Vice President

 

 

    Minimum of 5 years of similar EA experience reporting to a Vice President

 

    Advanced skills in MS Office Suite (Word, Excel and Powerpoint)

 

    Strong organization skills and the ability to prioritize under pressure of competing deadlines

 

 

 

 

 

 

 

 

 

 

    Excellent interpersonal, communication and presentation skills

 

    Post Secondary Degree or equivalent preferred

 

    Polished and professional attitude with a high degree of confidentiality
