Job duties of a Receptionist
To welcome and attend to visitors and deal with enquiries on the phone and face to face. To provide information regarding the school / service to students, staff, visitors, the general public, clients and customers
To answer the telephone, screen and direct calls.
To take and relay messages, deal with queries and provide factual information to callers and e-mailers as required.
To welcome visitors to the school /service, ensure security procedures are followed and direct them to their correct destination as appropriate.
To undertake general administrative and clerical support duties as directed by the line manager.
To receive and sort mail and deliveries and collate documentation for outward distribution as required.
To schedule appointments on behalf of the line manager, maintaining an appointment diary either manually or electronically
Qualifications, Knowledge and Experience:
Basic Numeracy and Literacy
Previous clerical based work experience.
Knowledge of relevant school/service structure and the most common queries received.
Ability to make effective use of office equipment e.g. photocopier, laminator.
Attention to detail
Planning and Organising:
Able to accurately follow instructions and meet deadlines.
Experienced in the use of alpha and numeric filing systems, both manual and electronic.
Problem Solving and Initiative:
Able to solve basic problems by following set procedures
Ability to undertake reception and clerical work without close supervision.
Able to use own judgement as to when to seek advice from a more senior colleague.
Experience of taking an active part in a team, helping colleagues as required ensuring clerical tasks are completed on time and to required standards.
Communicating and Influencing:
Excellent interpersonal and verbal communications skills
Able to effectively communicate with colleagues and visitors providing factual information as required.
Other Skills and Behaviours:
Experience of sending and receiving emails.
Experience of using electronic appointment systems. (i.e. outlook)
To tidy the reception area. Any other duties that fall within the scope of the post as allocated by the line manager following consultation with the postholder.
