Job Summary

To act as Personal Assistant to the Director, Digital Media, ensuring the smooth running of the office.

 

To also act as assistant to one or two other members of the team to organise meetings and travel

 

Main responsibilities-PA to Director Job Description

Manage the Directors and other applicable team members diaries and arrange meetings as appropriate. To organise any travel and hospitality associated with this.

 

To get involved in ad hoc projects, therefore an interest and enthusiasm in Digital Media is desirable.

 

Deal with telephone enquiries, filter calls and use initiative to deal with routine queries wherever possible.

 

Provide general administrative support including: preparation of invoices to be paid, raising purchase orders, completing expense forms, filing correspondence, booking couriers and taxis, ordering stationary & photocopying as well as carrying out ad hoc tasks to ensure the smooth running of the office

 

Designing and producing PowerPoint presentations

 

Liaise with premises management on matters of accommodation and equipment

 

Play an active role in researching and preparing presentations

 

Knowledge, Skills and Abilities-PA to Director Job Description

Strong relevant PA experience at a senior management level. This should include extensive diary management and travel arrangements

 

Experience of PA work in a media-based environment

 

Demonstrable interest in TV and digital media

 

Experience of working in a busy environment and to deadlines

 

Advanced MS Office skills especially PowerPoint

 

rapport with internal and external contacts

 

Excellent organisational skills and the ability to exercise initiative
