To support and provide the highest standards of administrative and secretarial support
Prepare and research briefings for meetings and pull together presentations where required
•To act as a key first point of contact for the Talent office and ensure that enquiries/requests/emails are dealt with professionally, following up as appropriate and referring up when necessary
•To provide support across the full range of the team’s responsibilities, talent events, projects, initiatives and working/steering groups
•To ensure the highest levels of confidentiality and discretion
•Use initiative and experience to identify issues which need immediate attention, to manage conflicting priorities, and to alert the relevant colleague where necessary
SKILLS, EXPERIENCE AND QUALIFICATIONS
•Ability to handle confidential information with tact and sensitivity
•Attention to detail with ability to manage system workflows methodically and efficiently
•Effective administrative experience with demonstrable diary management skills and successfully being able to organise several busy and changing diaries
•Excellent prioritisation skills coupled with the confidence to raise conflicting requests with the relevant individuals and suggest solutions
•Excellent planning and organisational skills with the ability to meet deadlines and react appropriately and calmly to any changes in priorities and deadlines
•Being able to multi-task effectively and ensure everything is completed to a high standard
•Exceptional written and verbal communication and interpersonal skills, with the ability to build effective relationships with a wide range of people at all levels – both in and outside the team
•Highly computer literate and a competent user of MS Office packages in particular Microsoft Excel, Outlook, Word and PowerPoint
•Confident working autonomously and finding solutions to problems and acting on own initiative
•An interest in supporting and developing people and working in a talent team would be desirable
•Provide professional, efficient and confidential administrative and IT support to the Talent Team
•Ensure excellent diary management for a team of Talent Managers and Head of Talent, effectively prioritising competing demands and arranging and re-scheduling meetings
•To organise all IT and systems requirements for new starters/returners in a methodical and timely manner
•Organise and minute meetings, associated room bookings and hospitality and ensuring all relevant paperwork is available.
